Duplicate Credit and IPRP

The Office of Undergraduate Curriculum, Policy, and Records has also developed an In-Progress Repeats Audit Tool. to help advisors identify students with in-progress repeats. It was designed to expedite advisors' outreach to students, when appropriate, to advise them of the duplicate credit and to prompt them to adjust their schedules.  

When you access the tool, you will see information for the department(s) for which you advise. In addition, you can add a note for each student on your list. These notes are viewable to any advisor who can access the student by virtue of their plans. For instance, a double major in PSYBA and ENGBA will have any notes viewable by the ENGBA advisor and all the PSYBA advisors. The notes will be there when users return to the system. They are also collapsed and included in the download if you “Export List to CSV.” Please do not spend time writing extensive notes. Consider the following (or write brief notes of your own):  

“Repeatable credit—no action necessary” 

“Will lose credit—emailed student” 

“Will lose credit—already discussed” 

• View the AAR with the “Report Type” field set to “AAR with Ext/Int Tran Cr.” 
• Check the “Transfer Credits” section of the report, listed below “Academic Program History” and before the “Beginning of Undergraduate Record” in the AAR. If the transfer credit is distributed at multiple institutions within the IU system, it can lead to multiple listings of the same the course(s) throughout the AAR and thus inflate the total credit hours. If you identify courses posted multiple times, contact iubxfer@iu.edu and request that they run repeat rules manually on the record to correct this issue. 
• Open the course list in the AAR under College of Arts and Sciences: Miscellaneous Course Information > All Courses Taken. Click on the column header to order it alphabetically by Course. Look for repeats. If there are repeated courses without notations for “credit counted” or “duplicate,” credit hour calculations may be incorrect. Particularly watch for unmarked duplicates in BIOL, CHEM, and MATH. If there are multiple iterations of a course but the repeats show 0 credit hours, there is no need for correction. Common examples of 0-credit courses are ENG-W 131 and MATH-M 199EX. 

• Check for courses that are equivalent to IUB courses but not noted as equivalents, or not listed correctly in any distribution and requirement blocks. Note these and, if needed, request exceptions or facilitate course permissions for courses that require the specific course as a pre-requisite. Some common duplicates are PSY-P 101/PSY-P 155, CHEM-C 105/CHEM-C or -S 117, BIOL-H 111/BIOL-L 112, all versions of calculus, and statistics courses from all departments. 
• Some students have AP/IB credits not listed in the AAR, but which are posted in the “Test Credit” section of AdRx. Check the “Test Credit” section in AdRx for any AP/IB credit not posted to the AAR. 
• Ask student if all their high school dual-credit coursework and AP / IB test credit is showing correctly on their IU transcript and advise them to request scores or additional transcripts be sent to IUB as necessary. If the student is unsure, you may consider checking AdRx History tab > View Documents, and review any transcripts posted to OnBase.  Some high school transcripts note that a student has AP or IB. Sometimes a student does not realize that they need to have the scores sent directly from AP or IB to IUB. This extra step may take additional time. 
• Courses taken at other IU campuses may have different numbers and/or titles but are nevertheless equivalent to IUB courses. This can make identification of the duplication in the All Courses Taken section challenging. Look over each term on the transcript, noting the campus for that term, and search for repeat courses. When reviewing the campus location, it can be easier to spot a similar title and then double back to check for an IUB repeat. 
• Some courses from campuses affiliated with Purdue University (IUPUI, for example) may be loaded to the transcript from the Purdue side of the curriculum. These will have five-digit numbers and, in some cases, different levels (200 versus 300) from the IUB equivalents. Note any equivalencies and, if in doubt about an intercampus equivalency, contact the Recorder’s office for assistance. 
• Make note of any undistributed coursework and advise students, as appropriate, to request course evaluations by appropriate departments and programs for possible IUB equivalencies. 
• If international students have completed foreign language proficiency, check that it is reflected in both the General Education Common Ground World Languages and the CASE Foreign Language requirements. Sometimes proficiency is noted only in the semester in which it was earned.
